Lightology Pty Ltd (ACN 638 283 824) (“Lightology”, “we”, “us”, “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, hold, use and disclose personal information, and how we comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
By providing personal information to us, or by engaging our services, you agree to the handling of your personal information in accordance with this Policy.

1. What is personal information
Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether true or not and whether recorded in a material form or not.
2. The personal information we collect
The personal information we collect depends on your dealings with us. It may include:
- Contact and identity details — name, business name, position, email address, postal address, phone number.
- Engagement information — details of the services, equipment hire or products you enquire about, request or receive from us, project correspondence, and your representatives’ contact details.
- Payment and financial information — billing details, ABN/ACN, bank or card details provided to process payments (we do not store full card numbers).
- Supplier and contractor information — contact and engagement details of our suppliers, subcontractors and crew.
- Website and technical information — when you visit our website, information collected automatically such as your IP address, device and browser type, pages visited, and information collected through cookies and analytics tools.
- Marketing information — your preferences for receiving communications from us.
We generally do not collect sensitive information (such as health, racial or political information). If we ever need to, we will only do so with your consent or where permitted by law.
We handle the personal information of our employees in accordance with the employee records exemption under the Privacy Act, where it applies.
3. How we collect personal information
We collect personal information:
- directly from you — for example, when you contact us, request a quote, enter into an agreement, attend or work on a project, or subscribe to our communications;
- from third parties — for example, your employer, your representatives, our suppliers, or referrals, where it is unreasonable or impracticable to collect it from you directly; and
- automatically — through our website, cookies and analytics tools.
If we receive personal information we did not request and could not have collected lawfully, we will destroy or de-identify it where the law requires.
4. Why we collect, hold, use and disclose personal information
We collect, hold, use and disclose personal information for purposes including to:
- provide, manage and deliver our services, equipment hire and products;
- prepare quotes, enter into and administer agreements, and process payments;
- communicate with you about your engagement and respond to enquiries;
- manage our suppliers, subcontractors and crew;
- promote and market our services (where you have not opted out);
- maintain and improve our website and services;
- protect our legal interests, manage risk, and comply with our legal obligations.
We will only use or disclose personal information for the purpose for which it was collected, a related purpose you would reasonably expect, or where you have consented or the law permits or requires it.
5. Disclosure of personal information
We may disclose personal information to:
- our staff, contractors and subcontractors who need it to deliver our services;
- our service providers, including IT, cloud hosting, payment processing, accounting and professional advisers, on terms requiring them to protect it;
- third parties involved in delivering a project, such as venues, freight and logistics providers, and other production vendors, where reasonably necessary;
- a purchaser or potential purchaser of our business; and
- government, regulatory or law enforcement bodies where required or authorised by law.
We will not sell your personal information.
6. Overseas disclosure
We use service providers and cloud-based tools that may store or process personal information outside Australia, including in the United States and other countries where our providers operate. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the APPs.
Because we provide services internationally, your personal information may also be disclosed in the country where a project is delivered, where reasonably necessary to provide the services.
7. How we hold and protect personal information
We hold personal information in electronic and, where relevant, physical form. We take reasonable steps to protect it from misuse, interference, loss, and unauthorised access, modification or disclosure — including access controls, secure storage, and the use of reputable service providers.
We retain personal information only for as long as necessary for the purposes described in this Policy or as required by law, after which we take reasonable steps to destroy or de-identify it.
8. Cookies and website analytics
Our website uses cookies and similar technologies to operate the site, remember your preferences, and understand how the site is used. You can disable cookies in your browser settings, although some features of the site may not function properly as a result.
9. Direct marketing
We may send you marketing communications about our services where you would reasonably expect it or have consented. You can opt out at any time by using the unsubscribe function in our communications or by contacting us at the details below. We will action your request promptly.
10. Accessing and correcting your personal information
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details below. We will respond within a reasonable period. In limited circumstances we may decline a request as permitted by law, in which case we will explain why.

If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact our Privacy Officer using the details below. We will acknowledge your complaint and respond within a reasonable period.
